Formatting Chaos
Posted by Pilotone Music - 21 Jan 03:52AM
I was given a piano score to orchestrate, sent from Sibelius 7.5, which I opened in Ultimate. There are several sections to it and the instrumentation will vary slightly in each, so I'm dividing them up, saving each with the scene number as title. I added some instruments. In the attached excerpt of 4 pages, the third page contains some unneeded clefs (bar 158) and several bars squashed together with bar numbers out of order.....I moved a couple of the bar numbers to show the problem clearly. Bar 154 has a whole rest way off center, followed directly by bar 158 which had been some unwanted braces and brackets that I removed. This is followed by the out-of-order bars. There had been a couple of synth lines that were hidden and appeared when I ordered it to "show hidden staves." There seems to be a "Save as page" in operation, so I hit "Unlock format" but things got even worse, so I undid that.
What in the heck might have been done before it was sent to me? Or did I mess up when I divided up the sections?
Thanks for any advice you can send my way!

And now......after all that rambling detail, I cannot choose a file to attach! I've got a Sib. file ready to send, but when I hit "Choose File," it momentarily turns dark blue, but nothing opens for me to select from.

Have you restarted your machine recently? :-D

Make sure the files are not over 1M in size. If there are saved versions in there, you need to strip them out.

Without checking in between, you could try the following sequence of keystrokes:

[ctrl/cmd]a (Select all)
[ctrl/cmd][shift]u (Unlock format)
[ctrl/cmd]chift]n (Reset Note spacing)
[ctrl/cmd][shift]p (Reset Position)
[ctrl/cmd][shift]d (Reset design)

With everything still selected, go into the inspector and set gap before bar to 0 (zero). If there are still gaps/overlaps after all this, you are going to have to select the barlines and individually reset their positions.

I have no issues sending files from 7.5 to 2012.12. Perhaps these files originated from xml or PhotoScore?

Thank you, Mike. I did the first five steps you suggested, although on my computer it had to be "shift/command" before U,N,P and D. Then went to the Inspector, but on the Bars panel, there was only a "Staff size" option, no "set gap before bar," although the Reference Manual discusses it on page 141. So I'm stuck there. And as before, I cannot "Choose File" to send. Grrrrrr. Yes, of course I could individually reset or just delete and replay those bars, but there's gotta be some reason it's happening. Any idea why I cannot "Choose File?" (it turns blue when I click on it, but no window opens)

This is what I see in the Inspector in Sibelius 7.5 in Windows 10. I has been available since at least Sib 6, when it was in the Properties Window.

The second screenshot is what I see in the current version of Sib Ultimate.

Sorry, the shorthand [ctrl/cmd] for "If you are on a PC press [Ctrl] or if you're on a Mac press [Cmd]" is too long to keep typing.

You did select a bar/staff before opening the inspector...?

Thank you, MIKE and BOB. Here's the update........I've already redone the whole excerpt from scratch, but still had to figure out why the problem in the first place. So.....apparently the Inspector only does my bidding if I select a single bar. I'd been selecting the whole orchestra, both the whole score and later just the mangled passage of 5 bars (still whole orchestra). Just now I selected just one bar of one instrument and suddenly Mr. Inspector showed what your screenshots showed, Bob.......starting with Brackets. And of course, there was the "Gap before bar" and it said "-80.06!" It must have arrived that way from my Sib 7.5 pal (but only those 5 bars). So after doing the first 5 steps you gave me, Mike, then resetting it to "0" did the trick! I didn't see this in the Inspector chapter of the Reference Guide but must be there somewhere.

So all's well there, but I still would like to know why I can't choose a file. "Reply" responds fine, but not "Choose File." Never had that happen before.

Huge thanks yet again! The Sib Forum rocks.

Because the inspector is context sensitive, it will show different things depending on what is selected - note/rest/bar/barline etc.

It's logical enough that Sibeliu swon't let you set a Gap Before Bar until you tell it WHICH bar you want it before!

Thank you, Laurence and thank you again, Mike! Definitely logical that Sibelius wants me to tell it which bars to act upon. And I did, but I chose the whole orchestra for those 5 bars, since they were all affected. But what apparently was wanted was just one instrument, not all of them. So I just randomly chose one and that did it. And like a broken record, I still don't know why I cannot "Choose File." Don't need to now, but I bet I will in the future!

Thanks again, guys. And happy new year!

I could be wrong, but I don't think it matters how many instrument staves you select to gain access to Gap Before Bar in the Inspector. It shouldn't matter at all, as long as you make a "Passage Selection" (blue box). My speculation is that when you selected "the whole orchestra" you actually made a "System Selection" (double purple box) and it was this that defeated your access to that property in the Inspector.

Your "Choose File" issue indicates something awry more generally in your operating system's ability to browse your folder tree. What happens if you try to attach a file to an email? There's no issue that can be pinned on this forum software which would cause what you experience, or we'd all be reporting it.
